Code of Conduct

ESN VU Amsterdam (hereinafter referred to as “ESN VU,” “we,” “us,” or “our”) is dedicated to fostering an inclusive, respectful, and positive environment for all participants in our events, activities, and community. This Code of Conduct outlines the standards of behaviour expected from all members, volunteers, event attendees, and participants. By participating in any ESN VU activity, you agree to abide by this Code of Conduct.

 

1. Purpose and Commitment

At ESN VU Amsterdam, we are dedicated to fostering a welcoming and inclusive environment for all participants. This Code of Conduct outlines our commitment to ensuring safety, respect, and inclusion in all activities. 

We maintain a zero-tolerance policy against discrimination, harassment, and any form of threatening behaviour. Our guiding principles are unity in diversity, openness, tolerance, and mutual respect. 

We strive to promote diversity and eliminate discrimination within our community.

 

2. Applicability

This Code of Conduct applies to all individuals and groups involved in ESN VU Amsterdam activities, including:

  1. On-campus and off-campus events.
  2. Online interactions and communications.
  3. Any representation of ESN VU Amsterdam in external contexts.

 

3. Prohibited Behavior

We are committed to creating a respectful and welcoming environment where no form of bullying, harassment, violence, or discrimination is tolerated. This includes, but is not limited to, discrimination based on:

  • Age.
  • Physical or mental abilities.
  • Educational and socio-economic background.
  • Ethical values, political beliefs, or religious practices.
  • Gender identity, sexual orientation, or gender expression.
  • Language proficiency.
  • Physical appearance.
  • Racial, ethnic, or national origin.
  • Organisational role or tenure.

 

4. Expected Conduct

Participants in ESN VU Amsterdam activities are expected to:

  • Act with respect and inclusivity.
  • Communicate constructively and respectfully.
  • Refrain from verbally or physically aggressive behaviour.
  • Report any violations of this Code to the designated Point of Contact.

 

4.1 Alcohol Policy

ESN VU Amsterdam prioritises the safety and well-being of all participants. The provision and consumption of alcoholic beverages must comply with Dutch law, and underage drinking is strictly prohibited. 

Non-alcoholic options will always be available and encouraged at events. Irresponsible alcohol consumption and bringing personal alcohol to events without explicit permission are not allowed. Violations will be addressed according to the procedure outlined in Section 5.

4.2 Drug Policy

ESN VU Amsterdam enforces a zero-tolerance policy regarding drugs at all events. This includes the use, possession, and distribution of legal or illegal substances, as well as being under the influence during activities. Violations will result in immediate exclusion from the event and potential future activities, as detailed in Section 5.

4.3 Dangerous Items

Bringing dangerous items to any ESN activity is prohibited. This includes weapons, fireworks, and any items deemed dangerous by the Executive Board. Violations will result in immediate exclusion from the event and potential future activities, as detailed in Section 5.

 

5. Reporting and Addressing Violations

5.1 Point of Contact

The president is the designated Point of Contact and is responsible for ensuring awareness and enforcement of this Code of Conduct. Reports of violations can be made directly to the Point of Contact in person, via email, or through a confidential online form if preferred. You can also reach out to the secretary if you prefer.

5.2 Immediate Response

Upon receiving a complaint, the Point of Contact may:

  1. Remind participants of their obligations under this Code.
  2. Engage in a private conversation with the offender to address the inappropriate behaviour.
  3. Request an apology or retraction from the offender.
  4. Suspend the session or request the offender to leave the activity.
  5. Consult with other board members if necessary before making decisions.
  6. Refer serious cases to the board for further action, which may include exclusion from future events, temporary suspension, or permanent expulsion.
5.3 Group Incidents

For violations involving a group, the same procedures apply. Any member of the affected group can request an apology or mediation. The group can appoint a representative for the mediation process. If the offended group is not present, any participant can report the incident.

5.4 Safety and Authorities

If there is a risk of harm, the Point of Contact will ensure the safety of participants and contact relevant authorities if necessary, following local laws.

5.5 Confidentiality

All parties involved in an incident must maintain confidentiality, except when required by legal procedures or safety concerns. The identities of those involved will not be disclosed without their consent.

 

6. Cultural and Legal Considerations

We acknowledge that cultural and legal norms vary by location. ESN VU Amsterdam members are not expected to violate local laws or compromise their safety. Any cultural or legal restrictions must be communicated to the Point of Contact before activities.
